Steel Structure RFI and Clarification Log: A Buyer Guide Before Quotation and Production

Keep open drawing, scope, and interface questions traceable before they are treated as quotation or production instructions.

The direct answer

A steel structure RFI and clarification log is a shared record of questions that still need a controlled response before they are treated as part of a quotation basis or a production release. It keeps the question, applicable drawing or specification revision, responsible responder, and response reference together.

An open question is not a confirmed quotation instruction or fabrication instruction. A recorded response is not, by itself, formal design approval, a local-code review, a contract variation, an inspection result, or signed acceptance.

Working record

What the log is for

When drawings, specifications, scope interfaces, or revision references leave a question unresolved, a short log can make the next action visible. Its purpose is narrow: identify the question, point to the controlling source material, identify the appropriate party to respond, and retain the response reference.

For quotation input checks, see what drawings to prepare for a steel structure quotation. For responsibilities across the project, see the steel structure project responsibility matrix.

Practical template

Fillable clarification-log template

Use one row for one question. Leave a field blank until the relevant party supplies the information; do not fill a gap with an assumption.

FieldWhat to record
Question IDA unique reference chosen for this working log
Received dateThe date the question entered the log
Affected package or areaThe package, drawing area, interface, or item affected
Source drawing/specification and revisionThe exact source reference and revision being questioned
QuestionA concise statement of what needs clarification
Required response ownerThe party who should provide or confirm the response
Response reference/dateThe controlled response reference and date, once available
StatusFor example: open, response recorded, or needs further clarification
Release/next-action noteWhether the response may affect quotation basis or needs a further controlled step

“Response recorded” means only that a response reference has been captured. It does not mean that a design, contract, inspection, or acceptance decision has been approved.

Controlled follow-up

A simple working sequence

  1. Record the question. State the issue plainly and identify the affected package or area.
  2. Identify the controlling source. Record the drawing, specification, and revision that prompted the question. If the controlling revision is unclear, log that uncertainty rather than guessing.
  3. Identify the appropriate response owner. The answer may need to come from the buyer, the buyer-appointed professional, or another party identified in the project documents.
  4. Retain the response reference. Record the source and date of the answer so the team can trace it to the relevant controlled communication or document.
  5. Separate the next action from the question. If the response changes the quotation basis or could affect a production release, identify the required controlled follow-up rather than treating the log row as authorization.

When a confirmed matter changes scope after quotation, use the established steel structure scope-change control path. The clarification log can point to that next action, but it does not create a scope change on its own.

Role clarity

Keep responsibility boundaries visible

This clarification log is a coordination record only. It does not replace controlled drawings, formal design approval, local-code review, inspection, signed acceptance, or signed contract documents.

  • Formal design approval and local-code matters are for the buyer-appointed professional.
  • Contract scope and responsibilities are governed by the signed documents.
  • Coordination records and photos do not substitute for controlled drawings, measurements, testing, formal inspection, or signed acceptance.
  • A China-side coordinator can support sourcing, factory matching, quotation and scope coordination, production follow-up, evidence coordination, and export handover support within the agreed arrangement; that support does not transfer design, approval, inspection, or acceptance responsibility.

The how YYN works guide provides broader coordination context. This guide stays focused on unresolved drawing and scope questions before they are treated as quotation or production instructions.

Limits to keep visible

A useful record does not create formal authority.

This page does not interpret drawings, perform design calculations, determine local-code compliance, establish contract terms, or confirm inspection or acceptance. It does not promise price, delivery timing, manufacturing capacity, certification, project outcomes, search ranking, or traffic results.

Before seeking a quotation or considering a production release, create a short log for unresolved items, identify the source revision and response owner for each one, and keep any confirmed change connected to the controlled documents and applicable approval path.
