Information We May Receive

Inquiry information may include contact details, company or buyer role, project country, project stage, drawings, models, bills of quantities, specifications, schedules, budget information, quotations, inspection requirements, destination, coating requirements, and messages.

How Information Is Used

Information is used to understand the inquiry, identify missing inputs, review possible factory fit, prepare or compare quotations, coordinate production and records when ordered, organize packing and delivery information, and respond to questions.

Drawing Upload and Secure-Link Use

Buyers may upload one drawing package through the inquiry form or provide an access-controlled link. Form details and uploaded files are stored in a restricted project directory on the YYN website server for inquiry review. YYN uses them for the stated inquiry or order purpose. The buyer should remove unrelated confidential material, avoid including passwords in the same submission, and confirm that it has authority to share each file.

Limited Sharing for Project Work

Relevant information may be shared with candidate factories during a controlled quotation review, the selected production resource after appointment, and logistics, customs, inspection, engineering, coating, packing, or other service providers only when relevant to the inquiry or confirmed order. Unnecessary contact, pricing, and unrelated project information should not be included in those exchanges.

Formal Inspection and Independent Parties

If a buyer appoints an inspection company, consultant, laboratory, or other independent organization, the information needed for its agreed work may be shared with that party. Its own privacy and retention practices may also apply.

Retention and Deletion

Inquiry and order information may be retained while a quotation, order, delivery, issue, accounting requirement, or legitimate business record remains active. A buyer may request access, correction, or deletion by contacting YYN. Some records may need to be retained when required by an applicable contract, law, accounting obligation, dispute, or security need.

Security

YYN uses reasonable operational controls for project information, but no email, cloud link, or internet transmission can be guaranteed completely secure. Use time-limited or access-controlled links for sensitive files and avoid sending passwords in the same message as a file link.
